This policy explains what personal information Spronken Ltd collects when you use our website, https://spronkenltd.co.uk/, or contact us, and how we look after it under UK data protection law (the UK GDPR and the Data Protection Act 2018).
1. Who we are
Spronken Ltd is a private limited company registered in England and Wales (company number [Company number]). Our registered office is [Registered office address]. We sell gym equipment for home use, supply trade attachment packs to independent gyms in Harlow and Essex, and offer procurement services. We also sell through our TikTok account, @spronkens_stuff.
We are the “controller” of your personal data. You can contact us about privacy at any time:
- Email: info@spronkenltd.co.uk
- Phone: 07356 005352
2. What information we collect
Our website has no contact forms, online payments, newsletter or analytics. We only collect personal information when you choose to contact us by phone or email. This may include:
- your name and, if relevant, your business or gym name;
- your email address and phone number;
- your delivery or business address, if you place an order;
- what you tell us about your enquiry or order.
When you visit the website, our hosting and security providers automatically process technical information such as your IP address, browser type and the pages you request. This is needed to deliver the site and keep it secure.
3. Why we use it and our lawful basis
- To answer your enquiry and give you a quote: legitimate interests (responding to people who contact us), or steps you ask us to take before entering a contract.
- To process and deliver orders and provide procurement services: performance of a contract with you.
- To keep business and tax records: legal obligation.
- To run and secure our website: legitimate interests (keeping the site working and protected).
We do not sell your information, and we do not use it for automated decision-making or profiling.
4. How long we keep it
- Enquiries that do not lead to an order: up to 2 years, then deleted.
- Order and customer records: 6 years from the end of the financial year they relate to, as required for UK tax and accounting.
- Website technical and security logs: kept by our hosting and security providers for their standard, limited periods.
5. Who we share it with
We only share your information with service providers who help us run the business and who must keep it secure:
- IONOS: hosts our website in EU data centres.
- IONOS CDN, powered by Cloudflare: delivers the website quickly and protects it from attacks.
- IONOS: also provides our business email (info@spronkenltd.co.uk), so emails you send us are stored by IONOS.
If you contact or buy from us on TikTok, TikTok’s own privacy policy also applies. We may also share information when the law requires it, for example with HMRC.
6. International transfers
Our website is hosted in the EU, which the UK recognises as giving adequate protection for personal data. Cloudflare may process data outside the UK, including in the United States. Where this happens, they rely on approved safeguards such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum to standard contractual clauses.
7. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it, or object to us using it;
- ask us to transfer it to you or another organisation (data portability).
Some of these rights only apply in certain circumstances. To use any of them, email info@spronkenltd.co.uk or call 07356 005352. It is free, and we will reply within one month.
8. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
9. Cookies
We do not use advertising, tracking or analytics cookies. WordPress, our shop software and our security provider may set a small number of essential cookies that the website needs to work properly and stay secure. These do not need your consent. You can block or delete cookies in your browser settings, but parts of the site may then not work properly.
10. Changes to this policy
We may update this policy, for example if we add a contact form, online shop or analytics. The latest version will always be on this page, with the date it was last updated shown at the top.
